HR Administrator


Position Description:

We are currently looking for a highly skilled, caring, and safety focused individual. In this role as the Human Resources Administrator, reporting to the Director, Human Resources, will join a team of HR professionals who are dedicated to supporting the business to enable growth while building on our values-based culture. The HR Administrator will be responsible for providing comprehensive administrative support to the Human Resources department. This role will involve assisting with various HR functions, including recruitment, employee onboarding, maintaining employee records, and employee development.

Here’s What You’ll be Responsible for:


General:

  • Provide general administrative support to the HR team, including filing documents, scheduling meetings, and managing correspondence.
  • Process, verify, and maintain personnel-related documentation, including staffing, recruitment, training, performance evaluations, classifications, and employee leaves of absence.
  • Maintain accurate and up-to-date employee records.
  • Assist the HR team with Strategic Plan initiatives.
  • Support efforts to maintain a safe and inclusive work environment, including diversity and inclusion initiatives.


Recruitment and Selection:

  • Will assist the HR team as needed with the recruitment cycle including:
  • Preparing job descriptions and job postings for vacant or additional positions.
  • Arrange for advertising or posting of job vacancies.
  • Process and review employment applications to evaluate the eligibility of applicants.
  • Conduct initial screening interviews and set up interviews with hiring managers.
  • Conduct candidate reference checks as needed.
  • Inform job applicants of their acceptance or rejection of employment.
  • Attend College and University Career fairs and other networking events as required.


Onboarding:

  • Prepare new hire paperwork and ensure all documents are completed accurately.
  • Coordinate orientation sessions for new employees, providing them with necessary information about company policies, procedures, and benefits.
  • Prepare new employee orientation packages.
  • Assist in setting up employee profiles in the HRIS database.


Programs:

  • Assist with employee career development, education, and retention programs.
  • Support Wellness Initiatives, Employment Equity, Mentorship, Employee Engagement, and similar programs.
  • Policy and Program updates including updating the internal SharePoint page.
  • Look into Awards/Certifications for the Company.


Employee Relations:

  • Process changes in employee status.
  • Assist employees with inquiries regarding benefits packages.
  • Help employees with any issues related to their benefits, such as claims or coverage questions.


Training and Development:

  • Assist in organizing employee training programs and other HR-related events.
  • Administer and promote training program development, company-wide committee facilitation and participation.
  • Responsible for the coordination of employee training initiatives. The includes assisting in the development, delivery, and evaluation of in-house training programs, particularly training around Green Building/Sustainability/DEIB and sourcing external training programs with reputable suppliers.


Policy Development and Implementation:

  • Write and distribute policies, procedures, memos, and other HR communications across all levels of the organization.
  • Create, maintain, and enforce the use of company standard forms and templates.


Other Duties:

  • Create PowerPoint presentations and assist with presenting.
  • Other duties as required.

Qualification Requirements

  • College or University Degree in HR or Certificate in Human Resources Management.
  • Knowledge of current and relevant HR legislation.
  • Proven experience as an HR administrator or assistant, preferably in the construction industry is an asset.
  • Minimum of 1-year work experience in HR preferred.
  • Experience in employee engagement and relationship building.
  • Familiarity with HRIS software and proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook).
