Your Role on our Team:
The Project Administrator is responsible for the Accounts Payable function within the Minto Communities Construction Deptartment.
In this role, you will:
- Ensures all supplier invoices have appropriate approval and coding necessary for processing, including matching invoices to purchase orders and packing slips to ensure accurate and timely disbursements;
- Ensures accounts payable invoices are processed and paid on a timely basis to avoid penalties, take discounts where applicable, and meet commitment to pay our suppliers & contractors on a timely basis;
- Reconciles monthly reports to match posted invoices in order to process cheques and close the month;
- Resolves accounts payable related issues as they arise, and follows up with suppliers and/or operational personnel on missing invoices, late billings, and over billings;
- Assists with accounting requirements including reconciling supplier statements and utilities accounts and deals with variances when necessary;
- Prepare updated budget reports for monthly Project Management Team Review
- Enter trade breakdown and schedule of values into Project System
- Provides administrative support for the department which may include filing, photocopying, printing, and mailing cheques, etc.
- Ensures Form 5 is properly completed in order for release to occur when required;
- Provides input and ensures adherence to policies and procedures;
- Deals with collection agencies to rectify accounts and outstanding balances;
- Participates in special projects as assigned and as required;
- Other duties within the scope, spirit, and purpose of the job, as requested by management.
- Some travel to sites may be required
We would like you to have:
- High School Diploma is required. College Diploma with a specialization in Finance, Accounting, or Business related discipline is an asset.
- A minimum of two (2) years of relevant work experience in an office environment.
- Microsoft Office (Word, Excel, Outlook)
- Communication skills (listening, verbal and written)
