This role is for EllisDon Construction Services (an EllisDon Company)
You as an Estimating Coordinator will:
- Assist in assembling and organized tender and proposal documents
- Prepare draft outlines for prequalification submissions, RFQ’s and RFI’s; Upon review by Leads, issue documents accordingly
- Review drawings and tender documents to understand scope of work and submission requirements
- Prepare and distribute Team Meeting Minutes (Weekly)
- Set up Project Folder in EST folder on Pdrive and SharePoint for all project pursuits; Rename and sort docs/unlock docs
- Setup Bidding platform (COMPASS ITB) for all Project pursuits as required; With COMPASS ITB – Register new Subs/Companies; Update existing contacts with new information
- Setup Trade Lists/Scopes by Estimating Lead
- Review front-end documents to compile what is required at submission time along with our price
- COR, resumes, organization charge, project experience, corporate seal, H&S manual, etc.
- Reach out to proposals department, if necessary
- Complete and submit RBIQ’s for Insurance requirements for all Lump Sum tenders and CM RFPs (as required) and Prequals along with updating the Insurance Dept. with issued addendums for their files.
- Bid Platform Reviews: Make sure bidding systems have all required “upload” sections and are ready for closing day submissions.
- Provide support for closing day activities (i.e., Have tender/bid forms filled out, signed, and dated, print quotes, order lunch, upload & submit via Bid platforms – Merx/Ariba/Bids & Tenders/Procore or emailed to Owner).
- Set-up Estimating Calendar with key proposal deadline dates (RFI, Closing) and set-up review meetings (Kickoff, Halfway Point, 48hr review); Provide on-going update of calendar as required
- Download and distribute addendums for pursuits (Lump Sum, CM RFPs, DB, Tender Packages, as required) from Estimating platforms and communicate out to project team involved.
- Support Estimators, as required, contacting Sub Trades to confirm if they are bidding, what scopes they are bidding on and ensure timely submissions.
- Support Proposal Department in building base proposal drafts and outline
- Support as required to follow-up with Project Team members to remind and gather required input for write-ups.
- Check estimating repositories (MERX, APC, Buildworks, etc) for opportunities and update Procurement tracker for initial review by Jomer and Barry.
- Update Pursuit Tracker spreadsheet with new pursuits, results and data analytics
- Update reception every Monday with a list of new & ongoing projects we are pursuing – letting them know who the lead estimator is and when project gets extended - so that if a sub calls looking to speak to someone pertaining to that project – they will know who to transfer them to.
- Attend weekly Proposal/Estimating meetings (Every Monday).
- Attend all kick off and pursuit review meetings
- Attend weekly resource planning meetings.
- Attend site visits, along with Estimator, if required (Take photos; upload to SharePoint/P-drive)
- Assist Lead Estimator with the preparation of the Handover documents for project team and attend hand over meetings.
- Assist in Estimator internal orientation for all new hires.
- *Ongoing* Estimating support for misc. requests (Tech, Corporate support, etc.)
- Plan Estimating Team building events and site tours
- Work towards attaining ACSO designation; Upon completion, manage and organize the procurement of security clearances for all staff as required for the projects/pursuits.
Is this the right role for you?
- You have a construction related degree/diploma or an equivalent combination of technical training and experience
- Previous Administrative experience, an asset
- Strong proficiency in Microsoft office, especially Excel and Word
- You have the ability to work effectively and accurately in time sensitive situations while delegating to a team
- Strong interpersonal skills; ability to create and maintain strong relationships
